Do I Really Need an On-the-Day Wedding Co-Ordinator?
You’ve chosen the venue, booked your suppliers, planned the décor, worked out the timings and probably spent more time thinking about table plans than you ever imagined possible.
So, after doing all of that yourself, why would you need a wedding co-ordinator?
The answer isn’t because your wedding needs more planning. It’s because, at some point, someone needs to stop planning it and start running it.
You’ve planned the wedding. Who’s running it?
In the weeks leading up to a wedding, there are countless details to bring together. What time can the florist access the venue? Where should the cake be delivered? Who is meeting the band? When should guests be asked to take their seats? Who tells the caterer that the photographs are running ten minutes behind? Who makes sure the best man knows the speeches are about to begin?
Individually, these might seem like small things. Together, they are what make a wedding day run smoothly.
Without someone overseeing the whole picture, those questions often end up being directed to the couple, a parent, a bridesmaid, a best man or whichever helpful guest happens to be nearby. And while your friends and family will usually be more than happy to help, they are also there for one very important reason: to enjoy your wedding with you.
Isn’t that what the venue co-ordinator does?
Sometimes - but not always.
Venue teams can be fantastic, and a good venue co-ordinator is an invaluable part of your wedding day. However, their responsibilities will naturally centre around the venue and the services it provides. An independent wedding day co-ordinator works for you. That means looking at the day as a whole: your suppliers, your timings, your guests, your plans and all of those carefully considered details you’ve spent months putting together.
Every venue works differently, so it is always worth asking exactly what your venue team will and won’t be responsible for on the day.
What does an on-the-day co-ordinator actually do?
In reality, the work starts before the wedding day itself. At Willow and Styles, our role is to understand the day you have planned so that, when it arrives, you can hand it over with confidence. That can include liaising with suppliers in the lead-up to your wedding, creating a detailed Event Day Schedule, completing a venue walkthrough and making sure everyone understands the plan. Then, on the day, we’re there behind the scenes. We can oversee supplier arrivals, keep an eye on timings, help manage guest flow, cue key moments such as speeches and entertainment, answer supplier questions and quietly deal with the unexpected.
You might barely notice some of the things we do. And that’s rather the point. What happens when something doesn’t go to plan?
Almost every wedding has a moment that wasn’t in the schedule. A supplier gets caught in traffic. The weather changes just before an outdoor ceremony. A buttonhole disappears. Someone important is missing when photographs are due to start. Dinner is ready but the speeches have overrun. Most of these things are completely manageable. The difference is who has to manage them. With someone overseeing the day, a problem can often be dealt with quietly before the couple even needs to know about it. Without that person, the question can quickly become:
“Where are the newlyweds? We need to ask them what they want us to do.”
On your wedding day, that is one question you shouldn't have to keep answering. Couldn’t a friend or family member do it?
Of course - and many do. But before asking someone, consider what you are actually asking them to take responsibility for. Do you want your mum checking whether the florist has arrived? Should your best man be watching the clock instead of enjoying the drinks reception?
Do you want a bridesmaid leaving the photographs because somebody needs to find the DJ? Your friends and family are your guests too.
Giving someone else responsibility for the logistics means the people closest to you can be present for the moments that matter.
Who is wedding day co-ordinator for?
It can be particularly valuable if you have planned most or all of your wedding yourself. You may not need, or want, a full wedding planner. You’ve enjoyed choosing your suppliers and creating a day that feels completely yours. You simply don't want to be responsible for delivering it as well. It can also be particularly helpful for weddings involving multiple suppliers, DIY elements, dry-hire venues, marquees, separate ceremony and reception locations, detailed décor or a schedule involving lots of moving parts. But sometimes the reason is much simpler.
